Privacy Policy
Artificial Poets, Inc. (“Artificial Poets,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy describes how we collect, use, disclose, and safeguard personal information when you visit our websites, use our applications and APIs, or otherwise interact with our services, including those operated under the following domains (collectively, the “Services”):
outboundmode.com · intent-analysis.com · poehost.com
By using the Services you agree to the collection and use of information in accordance with this Policy. If you do not agree, do not use the Services.
1. Information we collect
(a) Information you provide
- Account information — name, email address, hashed password, profile details, and the organization or workspace you belong to.
- Communications — messages, feedback, and support requests you send to us.
- Payment information — handled by our payment processors. We do not store full card numbers on our systems.
- Content — text, files, images, code, prompts, configurations, and other materials you submit, upload, generate, or instruct the Services to process.
(b) Information collected automatically
- Device and connection data — IP address, browser type, operating system, device identifiers, and language settings.
- Usage data — pages viewed, features used, timestamps, referral URLs, and diagnostic logs.
- Cookies and similar technologies — see “Cookies and tracking” below.
- Approximate location — derived from your IP address.
(c) Information from third parties
- Authentication providers — when you sign in via OAuth (e.g., Google, Microsoft, Apple, GitHub), we receive only the scopes you authorize, typically your name, email, profile picture, and a stable identifier.
- Connected services — when you authorize an integration (such as a Google Workspace, Microsoft 365, social media, advertising, analytics, or hosting account), we access the data you have authorized us to access, limited to the permissions you grant.
- Referral and marketing partners — limited information about how you found the Services.
2. How we use information
We use information to:
- Provide, operate, secure, and maintain the Services.
- Authenticate users and manage accounts.
- Process transactions and send related communications.
- Personalize and improve the Services and develop new features.
- Communicate with you about updates, security notices, and customer support.
- Detect, prevent, and address fraud, abuse, security incidents, and unlawful activity.
- Comply with legal obligations and enforce our agreements.
- With your consent, send you marketing communications (which you may opt out of at any time).
3. Artificial intelligence, models, and processing
The Services use artificial intelligence systems to deliver core functionality. We process content you submit either through proprietary models or through trusted third-party model providers (such as Anthropic, OpenAI, Google, Microsoft, Cohere, Meta, or similar) to generate responses, classifications, summaries, embeddings, or related outputs.
We do not use customer content to train foundation models that we offer to other customers without your explicit, opt-in consent. Where third-party AI providers process content on our behalf, we engage them under agreements that prohibit them from using your content to train their general-purpose models, except as necessary to deliver the requested feature.
4. How we share information
We do not sell personal information for monetary consideration. We share information only as described below:
- Service providers — vendors who perform services on our behalf, including cloud hosting (Cloudflare, Microsoft Azure, Amazon Web Services, Google Cloud), analytics, email delivery, payment processing, AI inference, security, and customer support. These providers are contractually bound to safeguard the information.
- Authorized integrations — third-party services you connect, such as Google, Microsoft, Meta, social platforms, ad networks, and hosting providers, only to the extent necessary to perform the integration you have requested.
- Legal compliance — when required by law, regulation, legal process, or governmental request.
- Safety and rights — to protect the rights, property, or safety of Artificial Poets, our users, or the public, including investigating fraud or violations of our Terms.
- Business transfers — in connection with a merger, acquisition, financing, sale of assets, reorganization, or insolvency, with appropriate notice and protections.
- With your consent — for any other purpose disclosed at the point of collection.
5. International data transfers
Artificial Poets is based in the United States. Personal information may be processed in any country where we, our service providers, or our integrations operate. Where required, we rely on standard contractual clauses, adequacy decisions, or other appropriate transfer mechanisms recognized under applicable law.
6. Data retention
We retain personal information for as long as necessary to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed we delete or anonymize it according to our retention schedule and applicable law.
7. Security
We employ administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest, access controls, security monitoring, and regular reviews. No system is perfectly secure and we cannot guarantee absolute security.

- Correct inaccurate or incomplete information.
- Delete your personal information.
- Restrict or object to certain processing.

11. OAuth providers and limited-use disclosures
Google API Services User Data Policy
Artificial Poets’ use and transfer to any other application of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
We use Google user data only for the user-facing features clearly disclosed at the point of authorization. We do not transfer Google user data to third parties except as necessary to provide or improve those features, comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice. We do not use Google user data to serve advertisements, including retargeting, personalized, or interest-based advertising. We do not allow humans to read Google user data unless we obtain affirmative consent from the user, it is necessary for security purposes (such as investigating abuse), to comply with applicable law, or the data has been aggregated and anonymized.
Microsoft identity platform & Microsoft Graph
Where the Services integrate with Microsoft accounts or Microsoft Graph (including Microsoft 365 and Azure AD / Entra ID), we request the minimum scopes required to deliver the user-requested feature. We use Microsoft user data solely to provide the requested features, do not use it for advertising, and comply with the Microsoft Services Agreement, the Microsoft Identity Platform requirements, and any applicable Microsoft Cloud / Microsoft 365 publisher attestations.
Other OAuth providers
The same principles apply to any other authentication or API provider you connect (including Apple, GitHub, GitLab, Slack, LinkedIn, Meta, X, and similar): we request only the scopes required for the feature you have asked us to provide, we do not use that data for advertising, we do not resell it, and you can revoke access at any time through the third-party provider’s account controls.
12. Changes to this Policy
We may update this Policy from time to time. Material changes will be communicated through the Services or by email. The “Last updated” date at the top reflects the latest revision. Continued use of the Services after changes take effect constitutes acceptance of the updated Policy.
